Administrative Assistant

The Job

The incumbent will report to Property Manager to assist in providing administrative support to a cluster of industrial properties.

  • Support Property Executive in daily administrative issues pertaining operation
  • Responsible for Property Management & Operation Filing (Integrated Management System, e.g. ISO9001, ISO14001 & OHSAS 18001)
  • Handle enquiries, feedback from tenants and call centre
  • Maintain proper records of documents, plans, drawings, staff leave, etc
  • Respond to bookings of meeting/training room application and charge
  • Take minutes of meetings
  • Manage tracking of inventories and handing / taking over notification
  • Compile reports such as Property Management monthly report and management of department folders
  • Assist Property Executive to prepare Master Maintenance Schedule, Contractor Performance Report, monthly meeting reports, etc
  • Track and close Works Order
  • Management of building keys and vacant unit keys
  • Prepare for emergency drills, exercise or any other event held by the team
  • Management of cluster office, stationery and sundry items
  • Daily recording of utilities meter reading
  • Preparation and management of circular
  • Track renewal dates for authority compliances - FC, Structural, Lifts, Water tanks, etc
  • Any other work instruction requested by supervisor


  • GCE ‘O’ Levels or its equivalent
  • Minimum 2 years of relevant experience
  • Must be IT savvy and proficient in MS Office Applications
  • Team player, meticulous and customer service oriented with excellent organisational and administrative skill
  • Able to work under pressure to meet tight deadlines
